Executive Assistant to the President
LeapFrog Solutions, Inc. (LFS) provides public- and private-sector clients with a comprehensive range of services that include strategic marketing communications, advertising, public relations, website design and interactive marketing. Formed in 1996, the company is a privately held, certified, woman-owned small business located in Fairfax County, Virginia.
LFS seeks an experienced, highly organized Executive Assistant with excellent interpersonal and problem solving skills and a keen eye for detail. This is a fast-paced, multi-faceted position requiring high energy, initiative, adaptability and superior follow through. The position also calls for flexibility, excellent interpersonal skills, project coordination experience and the ability to work well with all levels of staff as well as clients and vendors.
Responsibilities include performing administrative tasks for the President such as reading and analyzing incoming emails and correspondence in order to determine their significance, prepare agendas and make arrangements for internal and external meetings, maintaining record management systems and an ability to establish and maintain interpersonal relationships.
Basic Qualifications:
- Bachelor’s degree or equivalent combination of education and experience
- Five or more years of professional administrative experience
- Experience with Outlook 2007, that includes a mastery of task and calendar management, Microsoft Office Suite 2007 (Word, Excel, PowerPoint) and contact management databases
- Knowledge of the Internet and social media tools, as well as an ability to learn and adapt to new and changing technologies
- Excellent editing, writing and verbal communication skills
- Experience working with company inventory and needs
- Strong organization and time management skills, as well as an ability to manage multiple competing priorities while demonstrating sound business judgment
- Ability to multi-task and complete a high volume of administrative tasks while proactively assessing the needs of the President in advance
- Ability to work independently, and as a team player, in a fast-paced environment
- Ability to maintain discretion when handling sensitive and confidential matters
- Ability to identify and solve issues proactively
Preferred Qualifications:
- Bachelor’s degree in Marketing and Business Administration or related field
- Experience and/or interest in marketing, media and/or advertising industries and a passion and desire to grow with the company
- Experience with government contracts and formal proposal environments is highly desired
- Strong leadership skills to train, mentor, provide work guidance, coordinate, oversee and lead office support staff
- Strong planning and decision-making skills to develop and implement office programs
- Experience with implementing and maintaining new hire orientation and training programs
Essential Job Functions:
Provide overall Administrative Support to company’s President and executive management team including, but not limited to:
- Managing President’s email and following up on action items
- Managing master calendar and rapidly changing schedules for the President
- Answering incoming calls, researching and responding to inquiries and escalating and/or routing calls to appropriate personnel, as necessary
- Providing logistics for internal and external meetings and speaking engagements
- Attending strategy, sales, production and other meetings as requested
- Creating and maintaining meeting minutes, to include maintaining records for meeting actions, team assignments and status update tracking
- Scheduling client meetings and coordinating the use of conference rooms
- Providing accounting support including the reconciliation of receipts and completion of expense reports
- Receiving, storing and/or distributing assessment testing (Kolbe)
- Updating client information in LFS internal contact management database (ACT!)
- Duplicating, binding and shipping time sensitive documents, marketing material and other correspondence
- Serving as liaison and/or initial point of contact for internal and external teams to ensure that specialized administrative functions are performed in a timely manner
- Coordinating complex travel arrangements, ensuring accuracy of travel dates and reserving appropriate accommodations
- Formatting, proofing and editing correspondence, documents, deliverables and proposals as requested
- Providing support to internal processes, such as new hire orientation programs and developing employee reference material, as requested
- Composing, tracking and updating various informational binders
- Effectively communicating with clients and executive management
